From Proposal Submission to Project Implementation
There are several stages in the project cycle from drafting the proposal to the conclusion of the project. The Office of Research Support assists you in all stages, from the first project plans to the implementation of the project, and will liaise, if necessary, with other central offices and service centres of the University of Bayreuth.
Please contact us in good time (at least 2 weeks before the planned submission) so that we can provide you with the best possible support and involve relevant contact persons. Otherwise, we cannot guarantee adequate support for your application and coordination of the documents required for submission. This applies in particular to applications that still require clarification with and approval of the university governing board.
In case of legal requirements in the proposal phase please contact us at least 4 weeks prior to submission. Larger projects such as collaborative projects with external partners or ERCs should plan for even longer lead times, see our separate guidelines.

Prior to the start of a research project you usually need to do the following:
- find a suitable funding opportunity for your project idea
- coordinate with cooperating partners if necessary
- draw a timetable for the proposal preparation
- write the project proposal

Depending on the funding programme and type of project, certain requirements need to be observed when applying for funding. You can generally find the funding guidelines on the websites of the funding agencies. Additional information and support with the application process is available from the Research Support Office (see also our Guidelines for selected programmes).
The Research Support Office helps you in all aspects of the application process and acts as an interface between applicants, funding bodies and university administration.

If you intend to provide research or scientific services for external clients, please get in touch with Unit II/1.1 (Finances), Division 1.1.5.

Your proposal budget should be as concrete as possible, with plausible cost items. We support you in drafting the budget. Please contact us if you have any questions regarding the various cost categories (personnel funding rates, travel expenses, equipment, etc.).

Research cooperations with one or more partners usually require the conclusion of a cooperation or third-party funding agreement. Unit I (Legal, Academic & Student Affairs) will advise you: if you receive a draft contract from a cooperation partner, please send it as soon as possible to vertrag@uni-bayreuth.de for review. Please allow 2 weeks for this, as relevant administrative units will need to be involved in the review process, and contract negotiations may be necessary in some cases. Sample consortium agreements for research projects can be obtained from the Research Support Office.

You can start your project work as soon as you receive the notification of funding. Depending on your funding agency, please contact the respective staff member of Unit II/1.1.4, Third-Party Funding Administration who will create a designated account (Kostenstelle) for your project. The contact person of Unit II/1.1.4 will also take care of drawing funds, if necessary, and will support you with questions regarding project management.
In the European research framework programme Horizon Europe, the Research Support Office accompanies you beyond the project approval: we help you with matters relating to the EU grant agreement, consortium agreements and other post-grant matters such as general administrative issues and non-financial reporting. All financial aspects of project management are the responsibility of Unit II/1.1.4.
